MEMORANDUM: Q3 Candidate Engagement Pipeline — Project Ghostlight

## Gormless Systems — Internal Memorandum

**To:** All hiring managers and talent acquisition partners

**From:** S. Mathers, VP of People Operations and Pipeline Optimisation

**Re:** Q3 Candidate Engagement Initiative — Project Ghostlight

Team,

Q2 metrics were strong: candidate touchpoints are up 340% year-on-year (we now average 7.2 interview stages per filled role), our time-to-ghost has improved from eleven days to a tight four, and our 'We Regret to Inform You' automated sequence is firing within six hours of a role being frozen. These are real wins.

But we can do better.

Effective immediately, all roles at Director level and below will require a minimum of five interview rounds before a decision is communicated. For senior individual contributor roles, a take-home assessment of no fewer than six hours is now standard. Candidates who complete all stages should be kept warm with bi-weekly check-in emails that promise an update 'by end of week' — indefinitely.

A few points of protocol:

- The 'organisational change' message is now available as a template in Greenhouse. Deploy it whenever a hiring manager leaves, a budget shifts, or we simply need to buy another month.

- 'Remote' tags may be used for visibility on all listings regardless of actual work location. Conversion to onsite will occur during the screening call. The candidate's surprise is their problem.

- Entry-level roles must list 5+ years of experience as a requirement. This filters for ambition. If pressed, call it 'a stretch posting.'

- The phrase 'we're moving forward with another candidate' should be sent no earlier than six weeks after the final interview. The delay is intentional — it communicates that we are deliberate and thorough.

- If a candidate completes a take-home that resembles a production task, that work belongs to Gormless Systems under the terms of our interview agreement (section 14c, which nobody reads). Legal has signed off.

Let's make Q3 the quarter where candidate throughput becomes a core competency. Remember: every ghosted applicant is a data point that makes our pipeline look healthier to the board.

All for one.
