- Incident report: candidate accepted competing offer during our round 8
Severity: P0 — candidate-shaped gap in headcount
Timeline. Candidate entered pipeline on February 3. Process progressed through screening, technical, technical (different team), take-home (6 hours), take-home defence, systems design, and values alignment. During what would have been the panel round (round 8 of 11), the candidate informed us they had "accepted another position."
Root cause analysis. The investigation identified the following contributing factors:
• A competitor extended an offer after only two conversations, which the committee agrees is "reckless and unsustainable."
• The candidate cited "timeline" and "not wanting to burn bridges with the other company" as reasons for accepting.
• No built-in mechanism existed to prevent candidates from speaking to other companies during our process.
Remediation. The committee recommends the following:
1. Add a loyalty round (round 12) in which candidates affirm their commitment to our process.
2. Implement an exclusivity window from round six onward (legal review pending).
3. Update careers page to say "candidates who complete our process are 100% committed."
The committee notes with concern that this is the fourth candidate lost to competing offers this quarter. The remedy for losing candidates to faster processes with fewer rounds is under consideration. An additional round has been proposed to assess the situation.
